The Aged Care Safety Genie is a conversational AI agent built on Workato that transforms how aged care facilities handle incident reporting, investigation, and compliance. Incident management in aged care is highly regulated, time-sensitive, and emotionally demanding. Staff must capture accurate details while managing a stressful situation, classify severity correctly, notify the right authorities within mandated timeframes, and ensure follow-up actions are completed.
Today, this process is largely manual and paper-based or involves navigating complex forms in safety management systems. Critical details get missed under pressure, severity classifications are inconsistent, regulatory notifications are delayed, and root cause analysis rarely happens systematically.
The Aged Care Safety Genie solves this by guiding staff through the entire process one question at a time. After capturing the first three critical details (incident type, date/time, and location), the Genie automatically creates a draft record in the safety management platform and returns a reference number for immediate tracking. It then continues collecting remaining details - who was involved, immediate actions taken, level of harm, witnesses - updating the draft in real time.
Severity is classified using a structured Level of Harm matrix (1 = Critical through 5 = No Harm). For high-severity incidents (Level 1-2), the Genie flags mandatory escalation requirements, prompts regulatory notifications with required timeframes, and guides staff through root cause analysis using structured methodologies. Every external notification requires explicit user confirmation before submission.
The result is faster, more accurate incident capture, consistent severity classification, timely regulatory compliance, systematic root cause investigation, and a complete audit trail from first report through corrective action completion.
Staff member reports a resident incident; Genie captures type, date/time, and location, then auto-creates a draft record in the safety management platform and returns a reference number
Genie continues collecting remaining details (people involved, immediate actions, harm level, witnesses) and updates the draft in real time as each answer is confirmed
Genie classifies severity using the Level of Harm matrix; for Level 1–2 incidents, flags mandatory escalation and prompts regulatory notification with required timeframes
For high-severity or repeat incidents, Genie guides staff through structured root cause analysis (5 Whys, contributing factors) and attaches findings to the incident record
Genie generates a full incident report for review, then submits to external regulatory authorities only after explicit user confirmation
